Why Video Conferencing Has Become Essential for Modern Workplaces

Over the past decade, video conferencing has evolved from a niche boardroom technology into a core communication tool for businesses worldwide.

Today’s organisations rely on video meetings to connect employees, collaborate with partners, and engage with customers across different locations. Whether supporting hybrid work environments, enabling global collaboration, or reducing travel costs, video conferencing is now a fundamental part of modern business infrastructure.

The rise of platforms such as Microsoft Teams, Zoom, and Google Meet has made video meetings accessible from anywhere. However, the real value of video conferencing comes when organisations combine these platforms with purpose-built meeting room technology that delivers reliable audio, intelligent cameras, and seamless collaboration.

In this article, we explore the top 10 benefits of video conferencing for businesses and why investing in the right collaboration technology can transform how teams communicate and work together.

Significant Reduction in Travel Costs

One of the most immediate benefits of video conferencing is the ability to dramatically reduce business travel.

Traditional meetings often required flights, hotel stays, and hours of travel time. With video conferencing, teams can connect instantly regardless of location.

Businesses benefit from reduced costs including:

Flights and train travel

Hotel accommodation

Travel expenses

Time lost travelling

For organisations with international teams or clients, replacing even a portion of in-person meetings with video calls can save thousands of pounds per year.

Beyond cost savings, reducing travel also improves employee wellbeing by eliminating unnecessary travel days.

Increased Productivity and Faster Communication

Video conferencing allows teams to communicate instantly, making collaboration faster and more efficient.

Instead of waiting days to schedule in-person meetings, teams can quickly organise a video call to discuss issues, review projects, or make decisions.

This leads to:

Faster problem solving

Reduced email chains

Quicker project progress

Immediate access to stakeholders

When employees can connect quickly and easily, organisations benefit from greater productivity and faster decision-making.

Better Collaboration Across Distributed Teams

Modern organisations rarely operate from a single location. Teams may be spread across offices, regions, or even continents.

Video conferencing bridges this gap by allowing employees to collaborate in real time, regardless of where they are working.

Features such as:

Screen sharing

Interactive whiteboards

Document collaboration

Live annotations

These allow teams to work together as though they were in the same room.

Seeing colleagues on camera also improves communication by allowing participants to read facial expressions and body language, something that is often lost in email or phone calls.

Enables Hybrid and Remote Work

Hybrid working has become a permanent part of modern workplace strategies. Many organisations now operate with a mix of office-based and remote employees.

Video conferencing ensures remote workers remain fully connected with their teams, allowing them to participate in meetings, collaborate on projects, and contribute to discussions.

With the right technology in place, hybrid meetings can provide an equal experience for both in-room and remote participants.

This is where dedicated meeting room systems such as Microsoft Teams Rooms or Zoom Rooms play an important role, providing professional audio and video experiences that allow remote attendees to feel included in the conversation.

Faster Decision-Making

Video meetings allow teams to discuss challenges and opportunities in real time, significantly accelerating the decision-making process.

Instead of waiting for email responses or scheduling in-person meetings, leaders and stakeholders can connect quickly and resolve issues during a single call.

This agility is particularly valuable in fast-moving industries where quick responses are critical.

Real-time discussions also reduce misunderstandings, ensuring everyone leaves the meeting with a clear understanding of the next steps.

Improved Employee Engagement

Video conferencing can significantly improve employee engagement, particularly for distributed teams.

Seeing colleagues on screen helps build stronger relationships and creates a sense of connection that audio-only communication cannot replicate.

Regular video meetings can help:

Reduce feelings of isolation among remote employees

Encourage participation in discussions

Improve team cohesion

Strengthen workplace culture

For organisations embracing hybrid working, maintaining employee engagement through video communication is essential.

Global Collaboration Without Geographic Barriers

Video conferencing allows organisations to collaborate globally without needing physical offices in every region.

Teams can easily work with:

International clients

Global partners

Remote employees

Overseas suppliers

This flexibility opens new opportunities for businesses to expand their reach and work with talent from anywhere in the world.

It also allows organisations to operate more efficiently by connecting teams across different time zones and locations.

More Efficient and Structured Meetings

Video meetings are often more efficient than traditional in-person meetings.

With built-in collaboration tools and structured meeting environments, discussions tend to stay focused and productive.

Additional benefits include:

Screen sharing for presentations

Recording meetings for later review

Easy sharing of files and documents

Clear visual communication

Recording meetings can also be valuable for organisations that need to document discussions or share information with colleagues who could not attend.

Powerful Training and Knowledge Sharing

Video conferencing has become a powerful tool for training, onboarding, and knowledge sharing within organisations.

Businesses can host:

Remote training sessions

Interactive workshops

Virtual onboarding programmes

Company-wide presentations

Many video conferencing platforms also support breakout rooms, polls, and Q&A features, making virtual training more engaging and interactive.

Recorded sessions can also be reused as learning resources, helping organisations scale their training programmes more efficiently.

Environmental Benefits and Sustainability

Reducing business travel does not just save money it also contributes to sustainability goals.

By replacing physical meetings with video conferencing, organisations can significantly reduce their carbon footprint.

Environmental benefits include:

Lower travel-related emissions

Reduced office resource usage

More sustainable business operations

For companies focused on environmental responsibility and ESG initiatives, video conferencing can play an important role in achieving sustainability targets.

Choosing the Right Video Conferencing Solution

Many organisations struggle with issues such as:

Inadequate camera coverage

Your most confidential conversations, board-level strategy, sensitive HR matters, financial forecasts no longer happen behind closed doors. They happen on...

Your most confidential conversations, board-level strategy, sensitive HR matters, financial forecasts no longer happen behind closed doors.

They happen on screen.

And here’s the uncomfortable question most organisations aren’t asking:

Is your virtual meeting room as secure as your physical one?

For millions of UK workers, video conferencing isn’t just a tool anymore. It’s the central nervous system of their organisation. Team standups, client pitches, contract negotiations all flow through platforms like Zoom, Teams, and Webex.

But that convenience has come at a cost.

Every call you make is a potential entry point for security threats. A single breach can expose sensitive data, destroy client trust, and land your organisation with a hefty fine from the ICO.

The good news? You can lock things down. And it doesn’t require a PhD in cybersecurity.

As a vendor-agnostic integrator with over 20 years’ experience configuring enterprise video conferencing platforms and accredited partners of Zoom, Microsoft, Cisco, Poly, and more we’ve seen first-hand how these vulnerabilities play out.

In this guide, we’ll walk you through the real-world threats targeting video calls right now, a practical multi-layered defence covering your platform, your people, and your processes, and how to build a culture of security that actually sticks.

Let’s get into it.

Why Securing Your Video Calls is Non-Negotiable

Here’s a stat that puts things into perspective:

According to the Office for National Statistics, 28% of working adults in Great Britain now follow a hybrid model, working both from home and the office.

That means more sensitive data is being transmitted outside the traditional office network than ever before. And much of it flows through video calls.

Think about what gets discussed on a typical week of calls:

Financial results and forecasts

Intellectual property and product roadmaps

Client-confidential or patient-confidential information

Legal and HR discussions

Strategic M&A activity

Now imagine any of that falling into the wrong hands.

What a Breach Actually Looks Like

It’s not just about someone listening in on a call. The knock-on effects are brutal:

Financial loss: Direct theft, industrial espionage, or competitors gaining an unfair advantage from leaked strategy.

Reputational damage: Once clients and partners lose trust, winning it back is an uphill battle.

Regulatory penalties: The Information Commissioner’s Office (ICO) doesn’t mess about. Under UK GDPR, breaches can result in fines of up to £17.5 million or 4% of annual global turnover whichever is greater.

Operational disruption. The downtime alone can be crippling, never mind the cost of remediation.

The threats have evolved. What started with relatively unsophisticated “Zoombombing” strangers gatecrashing meetings to cause disruption has matured into targeted corporate espionage and deliberate data exfiltration.

This isn’t theoretical. It’s happening right now.

Know Your Enemy: Common Video Conferencing Vulnerabilities

Before you can defend against threats, you need to understand them.

Here are the five most common vulnerabilities we see across client environments:

1. Unauthorised Access

How it happens: Re-using personal meeting IDs, skipping passwords, or sharing meeting links in public forums like Slack channels or social media.

The risk: Uninvited guests can listen in on confidential discussions, disrupt meetings, or share malicious content.

This one’s surprisingly common and surprisingly easy to prevent.

2. Eavesdropping and Man-in-the-Middle Attacks

How it happens: Attackers intercept unencrypted data, often when someone joins from an insecure network like public Wi-Fi.

The risk: Your entire conversation video, audio, and chat can be captured without anyone knowing.

If your data isn’t encrypted in transit, it’s essentially being broadcast.

3. Platform and Software Vulnerabilities

How it happens: Attackers exploit security flaws in the video conferencing application itself, or in the firmware of the hardware you’re running it on.

The risk: This can lead to remote code execution, malware installation, or even full system takeover.

This is why timely updates are critical. Every patch you delay is a window left open.

4. Insider Threats

How it happens: An employee either maliciously or accidentally leaks a meeting link, shares a recording with the wrong person, or forwards sensitive chat logs.

The risk: A significant percentage of data breaches originate from inside the organisation. Not every threat comes from a shadowy hacker.

5. Insecure Data Storage

The question you should be asking: “Where are our call recordings, transcripts, and chat logs stored? Who has access? And for how long?”

The risk: Data stored in non-compliant locations or without proper access controls is a sitting duck. If you can’t answer those questions confidently, you’ve got a problem.

What We’re Actually Seeing in Client Audits

Before we get into the practical checklist, it’s worth sharing what our consultants are finding when they assess organisations’ video conferencing setups.

When we audited a 200-person professional services firm last year, we found that over 60% of their scheduled meetings were using a default Personal Meeting ID with no passcode set. Their E2EE wasn’t enabled despite being available on their platform and call recordings were being saved to individual laptops rather than a centralised, access-controlled location. Within three weeks of implementing our recommendations, they had eliminated unauthorised access incidents entirely and brought their recording storage into compliance.

It’s a pattern we see repeatedly: the platform itself has the security features built in, but nobody has configured them properly. That gap between what’s available and what’s switched on is where most of the risk sits.

Your Multi-Layered Defence: A Practical Security Checklist

Right, here’s where we get practical.

Securing your video conferencing isn’t about doing one big thing. It’s about layering multiple defences so that if one fails, the next one catches it.

Think of it like a castle you don’t just have the outer wall. You’ve got the moat, the drawbridge, the inner keep, and the guards.

Layer 1: Choose the Right Platform and Configure It Properly

This one’s for the IT decision-makers.

Go enterprise-grade:

There’s a world of difference between consumer and business-focused platforms. Enterprise solutions give you the admin controls you need to enforce security across the board.

Enable End-to-End Encryption (E2EE):

In plain English, E2EE means only the participants in the meeting can decrypt and access the conversation. Not even the service provider can listen in. Major platforms like Zoom, Microsoft Teams, and Cisco Webex all offer E2EE but here’s the catch: it often needs to be explicitly enabled by an administrator. It’s not always on by default.

Set up robust access controls:

Waiting rooms enabled by default to vet every attendee before they join.

Mandatory passcodes are complex and unique for each meeting.

Domain-based joining only allows users from your company’s domain to join automatically.

Use a centralised admin console. You need the ability to set and enforce security policies across the entire organisation. This includes disabling high-risk features like local recording or third-party file sharing if they conflict with your security policy.

Check compliance certifications. Look for platforms certified against standards like ISO/IEC 27001 and SOC 2. These aren’t just badges, they’re evidence of rigorous security practices.

Layer 2: Implement Secure Meeting Protocols

This is where office managers, facilities managers, and team leads come in.

Before the call:

Never use a Personal Meeting ID for scheduled meetings. Always generate a unique meeting ID.

Distribute links securely via calendar invites, not on public channels.

During the call:

Assign a host or co-host who’s responsible for security during the meeting.

Lock the meeting once all expected attendees have joined. This stops anyone else from getting in, even with the link.

Manage participants mute on entry and control who can share their screen.

After the call:

Store recordings securely. Use an access-controlled location like Microsoft SharePoint or a secure company server. Not on someone’s laptop.

Implement a retention policy. Automatically delete recordings after a set period. The less data you hold, the less there is to steal.

Layer 3: Secure the Environment (Hardware, Network, and Device)

The platform can be bulletproof, but if the environment around it is weak, you’re still exposed.

Network security: Advise staff to avoid using public Wi-Fi for sensitive calls. When it’s unavoidable, a corporate VPN is essential.

Keep firmware updated: Certified hardware from vendors like HP/Poly, Yealink, Logitech, and Cisco receives regular security patches. These must be applied promptly. Delaying updates is one of the most common and most avoidable mistakes we see.

Secure the end-point device: The laptop or mobile phone joining the call is a critical vulnerability. Ensure all devices have up-to-date operating systems, active anti-malware software, and a firewall enabled. Encourage physical security, like not leaving a laptop unattended in a public place.

Consider dedicated meeting room hardware: There’s a strong case for professionally installed, dedicated appliances over a patchwork of personal laptops. They’re more secure, easier to manage centrally, and far more reliable. BYOD setups introduce variables you simply can’t control.

Creating a Culture of Security

Here’s the thing: you can have the best technology and the tightest protocols in the world. But if your people aren’t on board, none of it matters.

Your people are your strongest defence or your biggest vulnerability.

Here’s how to get the culture right:

Write a clear Acceptable Use Policy: Your organisation needs a formal, easy-to-understand policy for video conferencing. If it’s buried in a 60-page IT handbook, nobody will read it. Keep it concise and accessible.

Invest in continuous training: Security isn’t a one-time memo. Run regular, brief training sessions to keep best practices fresh and flag new threats. Little and often beats a yearly lecture.

Lead by example: If senior leadership ignores security protocols, everyone else will too. It starts at the top.

Have an incident response plan: If a meeting is compromised, what happens next? Who gets notified? How do you end the session securely? Having a clear plan means you respond quickly rather than scrambling.

From Vulnerable to Secure

Let’s recap.

Securing your video conferencing comes down to a multi-layered defence:

The right platform, properly configured with E2EE, access controls, and centralised management.

Secure protocols before, during, and after every call.

A secure environment, covering your network, hardware, and end-user devices.

Educated, security-aware people backed by clear policies and regular training.

Get all of these right, and you’ve built a defence that’s genuinely robust.

But we’ll be honest navigating the options, configuring platforms correctly, and integrating hardware securely across your organisation can be complex and time-consuming. It’s a lot to get right on your own.

That’s where we come in.

At VideoCentric, we take a vendor-agnostic approach. We’re not here to push a particular product.

Video conferencing isn’t new. But let’s be honest, for most UK businesses, it went from “nice to have” to “absolutely essential” practically overnight.

The shift to hybrid working wasn’t a temporary blip. It’s become the way we work now. At the heart of every distributed team, every cross-site project, and every client relationship is one thing: video.

But here’s the problem.

Too many organisations are still limping along with bodged-together setups. Dodgy audio. Cameras that make the boardroom look like a hostage video. Connections that drop out right when the MD is mid-sentence.

Sound familiar?

When video conferencing is done properly, strategically designed and professionally implemented the benefits go far beyond just seeing your colleagues on a screen.

We’re talking real, measurable impact. On your bottom line. On your people. On your ability to compete.

In this guide, we’ll walk you through the top 10 benefits a professional video conferencing ecosystem can deliver for your organisation. Whether you’re an IT lead, an office manager, or an operations head, these are the advantages that matter most.

Let’s get into it.

1. Drastically Reduce Operational Costs

This is the one that gets the finance team’s attention.

Business travel is expensive. Flights, hotels, taxis, meals all adds up fast. And the data backs this up: research from Morgan Stanley found that roughly 18% of corporate travel has been permanently replaced by virtual meetings, a figure that’s expected to hold long-term as companies recognise the cost and efficiency benefits.

But it’s not just travel. With a solid hybrid working model, you can rethink your entire office footprint. Smaller premises. Lower utility bills. Fewer overheads.

Here’s the catch, though.

Those cost savings only materialise if the virtual experience is genuinely seamless. We’ve seen this first-hand one multi-site financial services client came to us after spending months trying to reduce inter-office travel, only to find their teams were still booking trains because nobody trusted the meeting room tech. Within three months of a full meeting room AV refresh across their six sites, internal travel costs dropped by over 30%.

That’s the difference professional implementation makes. Selecting the right microphones for each room’s acoustics. Cameras that intelligently frame participants. One-touch-join simplicity that actually gets people using the system.

Get it right, and video conferencing pays for itself.

2. Boost Productivity and Efficiency

Think about the last time a simple question spiralled into a 14-email chain.

Frustrating, wasn’t it?

A quick video call can resolve issues in minutes that would otherwise eat up half a day in back-and-forth messages. Research from Nasstar found that 87% of employees feel more engaged with colleagues during video meetings compared to audio-only calls a difference that directly impacts decision-making speed and project output.

But productivity hinges on ease of use.

A fragmented system where different rooms run different platforms and different hardware creates friction. People waste the first 10 minutes of every meeting fiddling with cables, hunting for the right login, or trying to share their screen.

We design unified, interoperable systems. That means a Zoom Room can easily join a Team’s call. Every room works the same way. No messing about.

Because the fastest way to kill productivity is making people fight with the technology before they can even start working.

3. Enhance Collaboration and Innovation

We recently worked with an engineering firm that had a specific challenge: their design team in Bristol needed to collaborate in real time with project managers in Leeds not just talking, but annotating technical drawings, marking up plans, and sketching out solutions together.

A webcam and a shared screen weren’t going to cut it.

Collaboration isn’t just about talking to each other. It’s about working together in real time sketching ideas, annotating documents, brainstorming on a shared canvas.

Tools like digital whiteboarding, live content sharing, and co-annotation aren’t novelties any more. They’re essential for creative problem-solving in a hybrid workforce.

But effective collaboration requires more than just a camera and a microphone. You need high-definition content sharing, interactive displays (like DTEN or Neat Boards), and crystal-clear audio so every contribution is actually heard.

An expert consultant assesses your specific collaboration needs and recommends the right tools for the job rather than a generic off-the-shelf package that ticks a box but misses the point.

4. Attract and Retain Top Talent

The recruitment landscape has shifted. Permanently.

Research consistently shows that workplace flexibility is now one of the top priorities for UK job seekers. Buffer’s State of Remote Work report found that 98% of workers would prefer to work remotely at least some of the time for the remainder of their careers. Companies offering a trusted, effective hybrid work model have access to a significantly larger talent pool and experience lower staff turnover as a result.

But here’s what a lot of organisations get wrong.

Offering “hybrid work” on a job advert is easy. Delivering a great hybrid experience is hard.

If remote employees feel like second-class citizens because they can’t hear properly, can’t see the whiteboard, or keep getting forgotten in discussions your retention efforts will fall flat.

This is what we call meeting equity. Using technology like intelligent speaker tracking and multi-camera setups to ensure everyone has an equal seat at the table, regardless of whether they’re in the room or dialling in from their kitchen. It’s one of the key factors we consider when designing boardroom and meeting room solutions making sure remote participants aren’t an afterthought.

5. Strengthen Client and Partner Relationships

Let’s not pretend phone calls and emails are enough.

Face-to-face interaction builds trust. Video provides the visual cues body language, facial expressions, tone that are completely lost in a phone call. That leads to better negotiation outcomes and stronger long-term partnerships.

And you don’t need to travel to get it.

But here’s something worth thinking about: your meeting room technology is a reflection of your brand.

A glitchy, unprofessional video call with grainy footage, echoey audio, and someone shouting, “CAN YOU HEAR ME?” every two minutes damages client perception. Full stop.

We fitted out a London-based consultancy’s client-facing boardroom last year. They told us afterwards that the quality of their virtual client presentations had become a genuine differentiator prospects commented on how professional and seamless the experience felt compared to other firms they’d spoken with.

A professionally installed system with excellent lighting, branded backgrounds, and flawless audio conveys competence, attention to detail, and professionalism.

First impressions matter. Even virtual ones.

6. Improve Employee Wellbeing and Satisfaction

Long commutes are draining. Excessive business travel is exhausting. And both take a real toll on your people.

Studies consistently show that a reduction in commute time is directly linked to higher job satisfaction and better mental health. According to Zoom’s analysis of workplace research, remote employees spend roughly half as much on commuting and daily expenses as in-office employees. Giving people the genuine choice to work from home with the right technology to make it work can significantly improve their work-life balance.

Now, you might be thinking: “But what about Zoom fatigue?”

Fair point. It’s real. But it’s often caused by poor quality audio and video that forces our brains to work overtime. We’re subconsciously straining to fill in the gaps deciphering muffled speech, squinting at pixelated faces.

High-definition video and clear, natural-sounding audio reduce this cognitive load dramatically. And an acoustic survey of your meeting rooms can identify and solve issues like echo and reverb that make virtual meetings far more tiring than they need to be.

7. Ensure Business Continuity and Resilience

Remember the early 2020s?

The organisations with robust remote communication infrastructure adapted and thrived. The ones without it? They scrambled.

That lesson hasn’t gone away. Whether it’s rail strikes, extreme weather, or another unforeseen crisis, video conferencing is a core pillar of any modern business continuity plan.

In our experience, the businesses that weathered disruption best weren’t necessarily the ones with the fanciest tech they were the ones whose systems were properly maintained and proactively monitored. When a major transport disruption hit last winter, several of our managed-service clients switched to fully remote operations within minutes, with zero impact on their client-facing meetings.

Business continuity relies on technology that works. Every single time. Not “most of the time” or “when it feels like it.”

That means proactive monitoring. Ongoing support. A maintenance and support partner not just a supplier who’s invested in keeping your communication channels open when you need them most.

8. Reduce Your Carbon Footprint

This one matters more every year.

A return economy flight from London to New York produces approximately 986 kg of CO2 per passenger nearly a tonne from a single trip. For business class, the figure is significantly higher. For organisations serious about their ESG commitments, replacing even a handful of those trips with effective virtual meetings can make a meaningful dent in their carbon footprint.

Meanwhile, Deloitte’s 2023 corporate travel study found that four in ten European companies need to reduce travel per employee by more than 20% by 2030 to meet their sustainability targets. Video conferencing is one of the most practical tools available to help hit those numbers.

But here’s the thing.

For this policy to actually stick, the virtual alternative has to be genuinely compelling. If the video call experience is rubbish, people will book the train (or worse, the flight) every time.

Quality matters. A vendor-agnostic consultant can help you choose energy-efficient hardware and design a system so reliable and effective that it becomes the natural first choice over travel not a reluctant compromise.

9. Enable Specialist and On-Demand Expertise

This benefit doesn’t get talked about enough.

Video conferencing lets you bring in external consultants, trainers, or technical support instantly regardless of where they are in the world.

Think about how transformative that is in practice:

Healthcare: Remote diagnostics and specialist consultations without patient transfers

Education: Guest lecturers joining from anywhere, supported by purpose-built classroom and lecture theatre setups

Construction: Virtual site inspections with off-site engineers

We’ve seen some genuinely creative applications here. One of our NHS Trust clients uses high-zoom camera setups for remote dermatology consultations, allowing specialists to examine patients in detail without either party needing to travel. An architecture practice we work with runs virtual design reviews where off-site partners can zoom into fine detail on building plans displayed on a 75-inch interactive screen.

These specialist applications often require specialist hardware. High-zoom cameras for detailed technical inspections. Integration with specific diagnostic equipment. Bespoke audio configurations for lecture theatres.

A one-size-fits-all solution simply won’t cut it. These use cases demand a detailed consultation to understand the unique workflows involved and design something that actually fits.

10. Streamline Workspace Management

In a hybrid workplace, there’s a question that comes up every single day: “Which rooms are free, and are they set up properly?”

Integrating your communication tools with room and desk booking systems creates a smarter, more efficient office environment. Employees can book a room and its AV resources in one simple action no guesswork, no turning up to find the kit’s already in use.

This is where AV and IT truly converge.

Platforms like Microsoft Teams Rooms or Zoom Rooms can be integrated with your existing booking systems. That gives you valuable data on room usage, helping facilities managers optimise the office layout and invest in the right types of spaces for the future.

It’s something we help clients with regularly, and the insight it provides is often surprising many organisations discover that their most expensive meeting rooms are underused, while smaller huddle spaces are consistently overbooked. That kind of data drives smarter investment decisions.

Bringing It All Together: From Technology to Strategy

As we’ve seen, the benefits of video conferencing go far beyond simple communication.

They’re strategic advantages that impact your finances, your people, your sustainability goals, and your competitive position.

But and this is the crucial bit these benefits don’t come from simply buying a webcam and a licence.

They come from a cohesive strategy. One where the technology is perfectly aligned with your spaces, your platforms, and your people’s actual workflows.

That’s where a specialist, vendor-agnostic consultant becomes invaluable. Instead of pushing a particular brand, our process starts with your challenges and your goals. We analyse your workspaces, understand your team’s workflows, and design a seamless, unified solution that delivers real results.

From the initial acoustic survey to the final installation, training, and ongoing support we handle the lot.

Ready to Get Started?

Investing in a professional video conferencing solution is an investment in a more productive, flexible, and resilient organisation.

And the first step is simpler than you might think.

A 15-minute conversation can often highlight challenges and opportunities you hadn’t even considered. No sales pitch. No obligation. Just a straightforward chat about what you need and how to get there.

Ready to unlock these benefits for your business?

In this guide you’ll learn the top pitfalls we see. Plus, we’ll share some helpful tips to keep your future deployment on track.

As hybrid and remote work became a permanent fixture in most organisations. Microsoft Teams Rooms (MTR’s) are essential for creating consistent, high-quality meeting experiences. Even with the best certified devices, poor room planning will undermine your ROI and frustrate users. In this guide you’ll learn the top pitfalls we see. Plus, we’ll share some helpful tips to keep your future deployment on track.

Here are some of the most common mistake’s organisations make when planning a Microsoft Teams Room, and how to avoid them.

Underestimating Room Acoustics

One of the biggest mistakes is assuming that good microphones or speakers alone will fix poor sound quality. The reality is that room acoustics play a major role in how clearly people hear and are heard. Hard surfaces like glass walls, bare floors, or large meeting tables can cause echo and reverberation, while soft furnishings and acoustic panels help to absorb sound and improve clarity.

The workspace environment has a huge impact on speech intelligibility, user fatigue, and meeting clarity.

Improving room acoustics leads to better a communication experience in hybrid settings. It also improves the accuracy of AI features such as meeting transcriptions and automated note taking.

Aim for a reverberation time (RT60) of 0.6 seconds or less in meeting rooms to keep speech crisp.

Use acoustic panels, microperforated ceiling tiles, or hanging baffles. At least two walls should be treated.

Consider “invisible tech”: embed microphones and speakers into the ceiling so you don’t clutter tabletops.

Top Tip: Before you invest in technology, assess the acoustic properties of your meeting room. Solutions with built in audio AI can help compensate for challenging spaces, but acoustic treatment should always be part of the design conversation.

Choosing Based on Cheapest Price, Not Quality or Fit

When budgets are tight, it’s tempting to choose a system based on cost alone. But the cheapest solution isn’t always the most cost-effective in the long run.

A small huddle room and a large boardroom have very different requirements, and a one-size-fits-all approach can lead to poor camera coverage, inconsistent audio pickup, or user confusion.

Avoid a “one size fits all” mentality. A huddle room, medium room, and auditorium have vastly different requirements for mic arrays, camera coverage, and speaker strength.

Look for certified systems that allow modular upgrades (e.g. add a second display, add a whiteboard camera) rather than full replacement down the line.

Prioritise features that boost usability and adoptions (e.g., one-touch join, proximity join, intelligent cameras) rather than cutting corners on peripherals.

Tip: Focus on optimising your technology. Work with a certified partner who can specify solutions suited to your room size, use case, and platform. Investing in the right setup from the start reduces long-term support costs and ensures a better user experience.

Ignoring Display Positioning

It’s easy to overlook the physical placement of displays when planning a Teams Room but it has a huge impact on meeting quality. If the camera or screen is mounted too high, participants appear disengaged. If the display is too small or too far away, remote participants and shared content become hard to see.

Align the camera roughly to users’ eye lines. The camera lens should be at 120cm from the floor with the display positioned above it.

When very large displays are needed for conference rooms then a camera positioned either side of the display maintains the eye line

Position cameras slightly below or at screen level to avoid unflattering overhead or chin-up angles.

Use intelligent cameras with auto framing and speaker tracking to maintain eye contact and framing without manual control.

Pay attention to window position and the presence of bright sunlight which cause the camera iris to shut evening out bright light levels. This can cause people in the meeting room to look very dark. Window blinds that block bright sunlight make a big difference.

Use professional displays with a matt or high haze coating to reduce reflections of room lights and windows

Overlooking Cable Management & Power

Behind every sleek Teams Room lies a maze of cables, poor cable management can cause real headaches. Loose or tangled cables not only look untidy but can lead to connectivity issues, trip hazards, and difficulty maintaining the system.

Likewise, forgetting to plan for power and network points at the right locations often results in last-minute compromises or exposed extension leads.

A sleek Teams Room can be brought down by cable chaos, power oversights, or limitations on servicing.

Plan cable routes under floors, inside walls, or through protective tubing, with easy future access in mind.

Locate power and network outlets both behind the display and near the table (for in-room devices).

Use high quality shielded cables (e.g. Category 6A, fibre where needed) and terminate them properly. Signal loss and degradation is a silent killer.

Consider power redundancy or UPS for critical elements (compute, touch console, audio systems) to survive brief outages.

Tip: Include cable routing and power provision early in the design process. During design, simulate “maintenance day” – think about how someone will get under the table, open racks, replace a device. Don’t allow awkward retrofits.

Forgetting About Future Scalability

Technology evolves quickly, and so do the needs of your teams. Designing a Microsoft Teams Room without considering future requirements can limit flexibility and increase upgrade costs later. Whether it’s adding a second display, integrating wireless sharing, forward-thinking planning will save time and money down the line.

You don’t want to lock yourself into outdated systems. Here’s how to think ahead:

Build for BYOM (Bring Your Own Meeting) capability – modern rooms support USB-C plug-and-play connections, so users aren’t locked into Teams only.

Track usage analytics: monitor no-shows, busiest rooms, utilization patterns, and adjust capacity or configuration.

Leave headroom: extra compute capacity, spare network ports, modular mount points so you can add devices later.

Embrace low-power, wellness, and sustainability design: lighting, HVAC, and AV should autosense occupancy to reduce energy usage.

Tip: For example, Yealink ecosystems offer scalable options that can grow as your meeting needs evolve.

Final Thoughts

A well-planned Microsoft Teams Room is more than just a collection of devices, it’s a carefully designed environment that balances technology, space, and user experience. By avoiding these common mistakes, you’ll create a room that not only looks professional but also delivers seamless collaboration day after day.

In this article, we pick out the 10 best video bars for 2025.

Gone are the days where installed tabletop or ceiling microphones with separate loudspeaker systems are essential for clear and un-interrupted audio quality in the meeting room. Very large or complex spaces, eg divisible rooms or where external digital devices (eg scanner, visualiser, rear camera etc) also need to be connected, may still benefit from a “separates” solution but in over 80% of cases, a single “all-in-one” appliance is ideal.

All you need is a video bar to connect to your TV, your LAN and a power socket and you’re ready to meet — no faffing with interconnecting boxes, tabletop or ceiling microphones, external speakers or PCs, just one tidy appliance with Android processor, digital camera, microphone array and speaker/s built in.

Most manufacturers offer a range of bars, to suit the varying sizes of meeting room. In this article, we pick out the 10 best video bars for 2025. Note that each has its own pros and what is ideal for one room might be unsuitable for another so don’t assume that #1 in our list is better than #10 if you’re considering kitting out a huddle space, for example.

What is an Android Video Bar?

A video bar is a sleek appliance that contains virtually everything you need for high quality video conferencing: a wide-angled digital camera, noise-cancelling microphones and one or two speakers.

When used as a full room system (as opposed to a BYOD webcam/audio unit), it is usually supplied with a tabletop Touch Control Panel, giving users the advantage of “one touch join” without the need to know the meeting ID or password which is automatically passed to it once the room is invited to the meeting.

Until 2025, their inbuilt Android processors were generally at Android 10 or 11, a few being Android 12, but for 2025/6 and beyond Android 13 is important. This will provide longevity of support, ongoing certification to natively connect to a cloud platform and ability to upgrade (some but not all) with AOSP or MDEP security.

Upon initial start-up, the installer is given the opportunity to natively register such an appliance with their MS Teams, Zoom, Webex, GoogleMeet or RingCentral accounts, meaning that the Touch Panel’s user-interface and feature-set reflects the certification requirement of the platform provider.

No PC, Windows laptop or Macbook required other than for users who wish to share their presentation content into a conference. This can be achieved in a wired or wireless manner depending on the bar concerned and customer policy for wires, USB dongles or WiFi connectivity..

Most Video Bars, even though natively registered with a primary platform, also provide a temporary BYOD mode, where the in-built Android processor is bypassed and the application reverts to the desktop one of choice, running on the user’s device, whether that be wired or wirelessly connected. In this case it is operated by the user’s associated QWERTY keyboard and mouse rather than the native room’s Touch Controller.

Buyer’s Guide: How to Choose the Right Video Bar

Not all video bars are created equal.

And if you pick the wrong one, you’ll either overpay for tech you don’t need — or worse, end up with grainy video and muffled audio in your flagship boardroom.

Here’s how to make the right call.

Match the Bar to Your Room Size & Shape

A short wide room requires a wide-angled digital camera with electronic pan, tilt and zoom. A long narrow room is better equipped with an optical camera with motorised lens. The latter might still benefit from a “separates” system rather than an all-in-one video bar.

Match the Bar to your preferred desktop collaboration platform

Ask yourself: What platform does your team use the most? This is the same platform that your meeting room should be registered with in terms of its videoconferencing room system, booking panel etc.

If you’re meeting room is a shared event space or part of a serviced office, a BYOD solution will better suit its users. Platforms used may vary on a day-by-day basis and they simply wish to associate the camera and audio with their laptop and MacBook rather than involve themselves in room or VC system scheduling.

Think About Control & Scheduling

In the world of hybrid working, remote desktop users wish to book the room from home or on the road. Those in the building like to see, which rooms are in-use, free or about to be used and “book” them instantly. In some cases refreshments, lunches, car-parking etc need to be associated with their booking. Many VC control panels have a secondary purpose or variation in design to accommodate this. Logitech Tap, HP Poly TC8 or TC10, Neat Pad, Yealink CTP are no exceptions yet many others may be integrated (e.g. GoBright) to provide the perfect solution.

Keep It Clean: Mounting & Cable Management

Every bar has its quirks, so before you buy, check….

Can it neatly mount to the wall, on top of a display, under a display without wires being visible or obstructing servicing?

Does it come with the right brackets or do these need to be specially ordered?

Can it be connected on Wi-Fi without losing performance, even if presentations and expansion microphones are also wireless?

Where will you run power, network, or USB?

Futureproofing: Accessories & Expansion

Don’t just buy for today; think about tomorrow…

Security of Android devices, and ultimately their end-of-certification and end-of-life status, will be depend of support of Android 13 with AOSP (Android Open Source Project) as a minimum. This will be enhanced to MDEP (Microsoft Eco System Development Platform) for Microsoft to re-certify devices (IP phones, VC systems, booking panels, control panels) for MS Teams and associated Azure, Co-pilot platforms and tools.

Is it possible that tabletop microphones may need to be added to assist the quietly spoken at the rear of the room?

Will dual or triple displays improve of the usage of the room and visibility of presentations together with audience reaction to material presented, rather than reliance on PIP on a single display.

Is user “look and feel” to be standardised across all rooms & sites, regardless of varying meeting room sizes and shapes?

Native vs BYOD or both?

Consider your users: what’s best for them?

Not sure whether you want a Meeting Board or a Video Bar?

Both Meeting Boards and VideoBars are often termed “All-in-One” systems. In most cases a Meeting Board uses the same Android processor, the same camera and audio technology but comes embedded inside a custom made Interactive Whiteboarding Touch Display.

Ideally suited to teachers and training rooms where the lecturer is stood at the screen surface and presenting from the front of room to his/her audience, but less ideal for meeting rooms where participants wish to remain seated. Many though allow for a tabletop control panel to be added, allowing for a hybrid situation, ideal for collaboration and scrum rooms.

Still unsure? Try a demo

See it and hear yourself. VideoCentric’s policy since 2001 has been to “demonstrate everything it sells”. In the unlikely case we don’t have one to hand, plugged in a ready to go, then our manufacturers and trade distributors can often assist at short notice. Put us to the challenge and join us on a Teams or Zoom call and compare the top models from the top brands. click here.

Discover what digital signage is, its benefits, and how much it costs. Explore pricing, components, and ROI to find the right solution for your business.

What is Digital Signage and How Much Does It Cost?

Digital signage is transforming the look of corporate office environments, foyers, restaurants, shopping precincts, retail stores and transportation hubs.

It is an effective tool for engaging audiences, displaying information, and driving sales.

But what are the different types, how does it work, how much does it cost and why wouldn’t you simply display a presentation slide from a connected PC? In this article, we’ll examine the variants of digital signage and get a feel for the pricing involved.

What is Digital Signage?

Digital signage refers to the use of electronic displays—such as LCD or LED flat screens, tiled LED panels, Projectors or Projection TVs — to present dynamic content across a single or multiple displays on a single or network of site locations. Unlike traditional static signage, such as a PC running PowerPoint and connected to a TV using an HDMI cable, dynamic digital signage allows businesses to update and tailor content in real time.

Key Components of Digital Signage

Display Screen

Business or Professional-grade LCD, LED, or OLED screens

Projectors & Screens

Interactive touchscreens

2×2, 3×3 or 4×4 Video walls

100” to 165” LED Tile Matrix

Media Players & Software

Dedicated media players for content delivery

On-premise content management server (CMS)

Cloud-based content management service (CMS) with remote monitoring & troubleshooting

Mounting & Enclosures

Wall mounts, freestanding kiosks, ceiling mounts

Weatherproof enclosures for outdoor installations

Content Creation & Management

Custom graphics, videos, and templates

AI-driven content automation

Scheduling and campaign management

Integration with external data sources (e.g., BBC, Sky, Bloomberg news or sports feeds)

Content synchronisation across multiple locations

Common Uses of Digital Signage

Digital signage is increasingly being used across most market sectors, each benefiting from its own customised and targeted messaging.

Retail & Shopping Centres

Promotional offers & discounts over multiple checkouts & locations

Interactive product catalogues

Digital wayfinding & store directories

Hospitality & Restaurants

Digital menu boards

Self-service ordering kiosks

Hotel check-in & concierge displays

Price/menu synchronisation across multiple locations

Corporate & Office Spaces

Internal communications & HR updates

Meeting room & Hot Desk wayfinding linked to booking systems

Company announcements & performance dashboards

Live news & stock market feeds for reception areas

Healthcare

Patient check-in and queue management

Digital waiting room displays

Health awareness campaigns

Education

Campus information boards

Emergency alerts

Event schedules & announcements

Seminar wayfinding

Transportation & Public Spaces

Flight & train departure boards

Live traffic updates

Public information displays

How Much Does Digital Signage Cost?

The cost of digital signage varies significantly based on several factors. Below are some typical costs

Hardware Costs

Entry-Level Panels: £300–£700 (32″-49″ commercial displays)

Mid-Range Displays: £500–£900 (49-55″ signage & video wall screens)

Large format Displays: £1,000-£5,000 (65”-100” professional displays)

Interactive Displays: £1,500-£7,000 (55”-98” touch/whiteboarding displays)

Projection Systems: £1,000-£20,000 (depending on brightness & resolution)

LED Tile Matrix: £25,000-£35,000 (132”-163” frame with pop-out tiles)

Outdoor LED walls: From £5,000 per event with rigging & set-up crew

Media Players: £500–£1,500 (per player depending on number of streams & resolution)

Software & Content Management Costs

Basic CMS (Cloud-based): £100-£125 (per media player per annum)

Advanced CMS (Enterprise-level): £1,000-£2,500 per media player per annum)

On-Premise Server Licences: From £500 depending on networking & capacity

Installation & Setup Costs

Basic Setup: £500-£1,000 per day (2-man crew)

Advanced Indoor Setup: £1,500–£10,000 (2-10 days with 2-4 man crew)

Outdoor Setup: £5,000-£10,000 (4-day crew with staging, lighting rigs, sound system, sound engineers, power generators & security extra). Up to 15,000 crowd capacity.

Content Creation & Management

DIY Content Creation: Free (using tools like Canva or Adobe Express)

Professional Self-Design: From £100 (using Bright Cloud subscription)

Professional Outsourced Design: £500–£5,000 per campaign depending on Graphic Designers

Subscription-Based Content: £5–£500 per month licencing for some dynamic news, weather and stock market feeds. Depends on number of players & concurrent viewers.

Ongoing Maintenance & Support

Basic Hardware Support: From £5 per month per display for extended return for repair cover

Advanced Hardware Support: From £10 per month per display for advanced next day swap out

On-Site Hardware Support: From £20 per month per display for advanced swap out with visiting de.re-installation crew

Full Managed Services: From £50 per month per display or media player. (Note that graphic design consultancy and content administration may be extra)

ROI & Benefits of Digital Signage

By considering Digital Signage as a “nice-to-have” capital cost, the long-term benefits and overall cost savings will be missed. Looking at it as a labour and cost saving tool, paid for monthly out of savings made monthly, and therefore budgeted as a recurring revenue cost, over say 36, 48 or 60 months, will generally give a positive return on investment in the first two years. As a financed package, corporation taxpayers will also be eligible for 25% return against profit in their annual tax returns, making the overall costs of monthly repayments more attractive than paying outright for such goods and services.

Increased engagement & sales conversions

Reduced labour costs versus traditional methods

More professional & modern look, than traditional print materials

Real-time updates & automated content scheduling

Enhanced customer experience & brand awareness

Not sure it will work for you?

Most organisations start small and build their overall signage solution over time.

Maybe start with just a single media player, one display screen, a few live or pre-recorded feeds, for example, live BBC news, a YouTube video, a ticker tape message cycling along the bottom some “PC slide” content being refreshed periodically in a large window).

Once you’re comfortable with the concept, add extra interest to your graphic design, add a couple of extra displays, network the content to a second location and start to gauge the reaction from your managers, employees and visitors.

Discover Project Starline with VideoCentric next-gen 3D "Co-Presence" technology. Join our London demo waiting list to transform collaboration.

Project Starline has now become a reality.

As a concept announced in 2021. The 4-year development stage is now complete and testing is underway ready for launch at the ISE show in Barcelona in February 2025.

Immersive Telepresence became a buzz term nearly 20 years ago when Polycom and Tandberg produced their multi-codec, multi-display technologies. Into the traditional world of SIP video conferencing. Today, HP, the owners of Poly (ex Polycom) are bringing it back but rather than being termed “Telepresence”. It has coined a new term “Co-Presence”. Using some of the latest advancements in 3D imaging and AI processing. Starline promises to bring a unique experience to the workplace. Unlike earlier attempts by others to produce 3D video. The HP/Poly/Google solution will not require users to wear glasses or headsets. Imagine next generation video communication and the future of collaboration being delivered this year

Project Startline will only be available to Google platform users and is aimed at making video calls more lifelike and natural. As if two people are speaking to each other across a meeting room table. HP have already begun inviting companies. Including Salesforce, WeWork and T-Mobile to provide their feedbacks. To be amongst the first to receive products following its 2025 launch.

We are now inviting you to get on the London waiting list for a live demonstration. Contact our Sales Team for more information.

According to Andrew Nartker, General manager of Project Starline. “It works like a magic window where you can talk, gesture and make eye contact with another person, life-size and in three dimensions. The system uses advanced AI to build a photorealistic model of the person you’re talking to, and projects that onto a light field display with a unique sense of volume and depth. The result is a lifelike image of the other person as if they were right in front of you”.

At VideoCentric, we’re at the forefront of innovation in video communication and collaboration technologies. With the announcement of Project Starline’s upcoming launch in 2025, we are excited to offer you the opportunity to explore and experience this groundbreaking “Co-Presence” technology firsthand.

Unlike the typical rectangular meeting room with a rectangular table surrounded by 6 or more chairs, small rooms and huddle spaces tend to be more casual

Unlike the typical rectangular meeting room with a rectangular table surrounded by 6 or more chairs, small rooms and huddle spaces tend to be more casual, sometimes still set out with traditional chairs but increasingly with arm chairs, a sofa or high-backed bar stools resembling a modern coffee shop.

What constitutes a small room can be debated but at VideoCentric, we consider any room up with no side greater that 4m (13ft) a small one, containing 3-5 seats situated fairly close to a display screen and where the conference camera will be no more than 3 to 3.5m (10-12 ft) away from the furthest participant.

Huddle spaces are even smaller, often 2-3 seats with some bordering on a booth design for just 1-2 people equipped sometimes with an all-in-one desktop unit or touch-screen kiosk, and in other cases set up with a pre-installed display/TV for laptop users to bring their own device (BYOD) and start their own meeting (BYOM). Such rooms are typically used for HR interviews or for joining as a desktop user when sensitivity of information is high and use of an open space or hot-desk is inappropriate.

Depending on the size of space, the form factor of the system, the cloud platform standardly deployed and the need for BYOD flexibility, a number of leading solutions may apply. Some of the most popular we demonstrate, supply, install and support in such spaces include:

Understanding Webcams for Professional Spaces

In the evolving world of video communication, the term “webcam” extends beyond simple, desktop-based cameras. While traditional webcams are commonly associated with individual workstations. Today’s professional-grade webcams, like those offered by Poly, cater to diverse environments—from personal desks to large meeting rooms. A desktop webcam typically provides a personal focal length and sound designed for single-user engagement. Often lacking advanced audio features such as echo-cancellation or speaker-tracking. However, when moving to larger spaces, the requirements for camera quality, field of view, and audio capabilities become significantly more complex.

For meeting rooms, Poly webcams and video bars integrate sophisticated features. Including auto-framing, speaker-tracking, and powerful built-in microphones and speakers to ensure that all participants are seen and heard clearly. This enhanced technology eliminates distractions like background noise and adjusts the camera view to focus on active speakers or groups. Creating a seamless and engaging meeting experience. By selecting a high-quality webcam suited to the room’s needs, organisations can optimise their remote and hybrid communication setups. Enabling professional interactions that feel as natural and connected as in-person discussions.

Optimising Meeting Room Sound with Poly Audio Solutions

Audio quality can make or break a meeting experience, especially in today’s hybrid workplaces where clear communication is essential. Poly’s range of audio units, including the Poly Sync series and Trio C60, is crafted to deliver high-definition. Reliable sound across various room sizes. The Poly Sync models (20, 40, 60, and the Sync 60+) are specifically designed to suit spaces ranging from small huddle rooms to larger conference areas. Featuring wireless, Bluetooth-enabled capabilities and advanced echo cancellation, each model offers a flexible, clutter-free setup. For example, the Poly Sync 20 works well for intimate meeting spaces with a 4m x 4m range. While the Sync 60+ extends coverage to rooms as large as 12m x 6m with a dual-mic array.

Advanced Camera Modes

Modern meeting rooms require more than just high-resolution video; they need cameras that adapt to the room’s dynamics and the participants’ needs. Poly’s advanced camera modes bring features like auto-framing, speaker-tracking, and manual control that are designed to optimise visuals in diverse meeting environments. With auto-framing, the camera intuitively adjusts to include all participants in the frame, creating a seamless experience that eliminates the need for manual intervention. Speaker-tracking enhances this by actively following the individual speaking, providing a more immersive experience for remote attendees who might otherwise miss visual cues.

For larger spaces or specific presentation needs, Poly offers manual control and optical zoom capabilities, allowing users to take control when precision is essential. This is particularly valuable in training sessions or educational settings where a presenter may need to focus on specific details. Additionally, with AI-driven people framing and presenter tracking, Poly’s cameras can maintain a clear focus on individuals or groups even in larger rooms, creating an engaging and professional visual experience for everyone involved. By leveraging these adaptable camera modes, organisations can create a more dynamic, responsive environment that enhances communication and collaboration for both in-person and remote participants.
