Boost Microsoft Teams with RingCentral’s cloud phone system. Get advanced calling, global coverage & expert integration support.

Microsoft Teams has fast become the go-to tool for video meetings and messaging — especially in the era of hybrid work. But when it comes to calling, many organisations quickly hit a wall. Teams Phone is only available with E5 licenses or costly add-ons, and even then, it can lack the robust telephony features power users need.

That’s where RingCentral for Microsoft Teams steps in — and where we come in too.

At VideoCentric, we help organisations bring world-class cloud telephony into Microsoft Teams by deploying RingCentral’s powerful business phone system. Whether you’re already invested in Microsoft 365 or just starting to modernise your communications stack, we make the process seamless.

What’s the Problem with Teams Calling?

While Microsoft Teams is excellent for collaboration, its native calling features fall short in a few key areas:

Limited to E5 licences or expensive add-ons

Basic analytics and reporting without Power BI

Poor international coverage

Limited contact centre and CRM integrations

Downtime risks — exceeding SLA guarantees

️ Lack of support for advanced use cases (e.g. IVR, receptionist consoles, SMS, fax)

For most businesses, Microsoft Teams just isn’t built to be a full telephony solution — especially when your users rely on phones for customer service, sales, or support.

Why RingCentral for Microsoft Teams?

RingCentral brings a best-in-class business phone system directly into Microsoft Teams, without the need for expensive E5 licenses. Here’s what makes it stand out:

99.999% Uptime – That’s less than six minutes of downtime per year.
Integrated SMS & Fax – Communicate how your customers prefer.
Auto Attendant & IVR – Never miss a call again.
Real-time HUD – See user availability for better call management.
Global PSTN Access – Native coverage in 44+ countries and local numbers in over 110.
330+ App Integrations – Including Salesforce, HubSpot, and Okta.
Advanced Analytics – Get data-driven insights without extra Power BI licenses.

With two flexible deployment options — Embedded App (no E5 licence required) or Direct Routing — businesses can tailor the setup to their budget and workflows.

For over two decades, VideoCentric has been at the forefront of professional AV and unified communications. We’ve designed and deployed sound systems in some of the UK’s most complex rooms—boardrooms, training centres, lecture halls, and even town halls.

Back in the day, we relied on Polycom Soundstructure DSPs. Since then, the baton has passed through names like ClearOne, Phoenix, Biamp, Stem Audio and QSC.

But now? We’ve hit a new chapter.

Two brand-new “AI-powered” audio solutions are raising the bar—and we’re already hands-on with both.

Let’s take a look at the standout solution we’re focused on right now: Yealink’s Skysound.

For All-in-One Simplicity: Nureva HDX

We’ll cover this in a separate post, but if you’re looking for a wall-mounted soundbar with AI camera steering, echo cancellation, and powerful audio performance all in one slimline unit? The new Nureva HDX, launched at InfoComm 2025, is well worth your attention.

Especially for Teams or Zoom-based huddle rooms where plug-and-play is a must.

But this article’s about something else entirely…

Skysound: High-End Audio for Large, Complex Rooms

If your space demands ceiling microphones, professional speakers, and tight integration with Microsoft Teams Room (MTR) or Zoom Rooms, then Skysound is where you need to be looking.

We’re not just talking about quality here—we’re talking about smart design, flexibility, and seamless compatibility with Yealink’s MVC, ZVC, and A-Series meeting systems.

And yes—VideoCentric is fully certified to design, install and support this solution end-to-end.

What Exactly Is Skysound?

Skysound is a five-part audio ecosystem engineered by Yealink to bring pro-grade audio into larger rooms—especially those running Windows-based Teams or Zoom deployments.

It works brilliantly with Yealink’s A-Series appliances too (like the A40, A50 and MeetingBoard Pro), but those are usually aimed at smaller, portable setups.

So our focus? Bigger rooms. Divisible rooms. Hybrid-ready spaces.

Let’s unpack what that means—and what you’re getting.

What’s a Divisible Room (And Why Audio Integration Matters)?

In AV speak, a divisible room is a meeting space that can be split using movable partitions—turning one large room into two (or more) smaller ones.

Smart, right?

But here’s the catch: audio in divisible rooms is a minefield.

Picture this: you’ve got a confidential strategy session happening in one half of the room… and the microphone in the other half is still hot, accidentally feeding that audio into a live Zoom call.

Not good.

That’s why properly integrating audio controls—based on the open/closed status of the room—is crucial. Whether you’re using a:

Door sensor (magnetic contact closure),

The setup has to be foolproof. And that’s exactly what we build into every divisible room deployment.

What’s in the Skysound Kit? (The 5 Key Components)

Skysound isn’t just a mic and a speaker. It’s a precisely matched audio chain designed for large, often challenging spaces.

Here’s what you get:

1. Yealink AP08 – Audio Processor (DSP)

The brain of the system. This Digital Signal Processor handles everything from beamforming and echo cancellation to the matrix mixer configuration that makes complex setups work smoothly.

2. Yealink CM50 – Ceiling Microphone Panel

A sleek 600mm² tile that drops right into standard suspended ceilings. Most medium to large rooms only need one—though divisible rooms or odd-shaped spaces may benefit from two for full coverage.

3. Yealink CS10-D – Dante Ceiling Speakers

Professional-grade speakers matched to the AP08’s Dante networked audio capabilities. You get crystal-clear output, precisely placed to match your room’s shape and layout.

4. Yealink RCH-Series – PoE Switching Hub

This is where many setups go wrong. Skysound components draw serious power—especially the speakers. Regular PoE switches can’t keep up. Yealink’s RCH switches (available in 4, 8 or 24 port models) ensure clean, stable power delivery to every device.

5. Room Designer Tool + Acoustic Testing

Here’s where VideoCentric goes beyond the spec sheet. We don’t just plug in gear and hope for the best.

We use Yealink’s Room Designer tool—plus our own on-site acoustic tests—to:

Ensure the correct number and placement of mics and speakers

Video meetings have become the heartbeat of modern business communication — especially in a world where hybrid work, distributed teams, and remote collaboration are the norm.

But – Not all meeting setups are created equal. If your team members are still connecting up their own laptops, attaching clunky webcams, struggling with audio or encountering cable chaos, you’re creating frustration, wasting time and costing your organisation money.

This is where all-in-one video conferencing systems comes in.

These aren’t pieced-together webcam kits. They’re purpose-built collaboration powerhouses — with built-in camera, speakers, microphones, display and processing unit — all in a single device and able to be moved from room-to-room effortlessly.

So, in this guide, new for summer 2025, you’ll discover the 10 best all-in-one video conferencing systems — including the most advanced models from Yealink, Logitech, Neat, DTEN, Microsoft, and Cisco.

What is an All-in-One Collaboration System?

Our own definition of an “all-in-one” system means that it is a full collaborative system including the interactive touch screen and that’s what we have listed in our top 9.

However, our manufacturers often classify an “all-in-one” system as an Android meeting bar with built-in camera, microphones and speakers. By simply plugging this into a large interactive whiteboarding touch display, such as one from Iiyama, SmartBoard, Clevertouch and Avocor, a very neat solution can be created. But since these types of all-in-ones do not come with a screen, we at Videocentric don’t class them as a true all-in-one. This post will spill the beans on the best true all-in-one products on the market now.

Why Go All-In-One?

Three words: speed, simplicity, and performance.

These systems are designed to:

Get up and running fast (no IT help needed)

Deliver crystal-clear video and room-filling audio

Register natively with leading clouds – Zoom, Microsoft Teams, Webex or Google Meet

Integrate whiteboarding, AI framing, BYOD, wireless content sharing, and more

They’re perfect for:

Executive offices

Open spaces & Breakout zones

Mid-to-large conference rooms

Classrooms and collaboration hubs

Here is our new Top 9 …..

Yealink MeetingBoard Pro

A cost-effective AI canvas built for the remainder of this decade.

The Yealink MeetingBoard Pro 75” benefits from market experience from earlier 65” and 86” (non-Pro) models and are the first to market supporting Microsoft MDEP on Android 13. 75” has been a common size for standard interactive whiteboards over many years, and has become one of the most popular sizes in passive display technology and TV, yet the all-in-one video communications industry has tended to side-step this ideal size….until now, that is.

Key Features:

75” UHD touchscreen with anti-glare coating

Android-13 based OS with native Zoom Room or Teams Room application built-in

The first to support Microsoft’s MDEP architecture and security

Built-in 4K camera with auto-framing, intelliframe and speaker tracking

16-mic array and integrated stereo speakers

Supports external microphones, wired, wireless or ceiling
Whiteboarding, annotation, and wireless screen sharing

Supports Yealink’s CTP touch console for extending control to the tabletop when seated

Out now and built for the “AI” revolutionAlready certified by Microsoft

Best For:

Creative teams and design reviews
Strategy workshops and client presentations

Training rooms and hybrid collaboration

Portability – Competitor systems are either too small at 50” or 65” or too tall to manouevre through doorways when 86”.

Budget-conscious organisations

Those with Yealink A-series (A10, A20, A30) room systems already. This is essentially a modern A40 in an all-in-one form factor, so your users are already familiar with it 1

Bottom Line:
If you want big-screen brilliance and secure collaboration at the right price, this MDEP board, new for 2025, turns every meeting space into a creative one. Not the right size? – then consider the new 65” or 86” Pro alternatives.

Logitech RallyBoard

Built for a variety of meeting spaces featuring Logitech’s “Digital Cocoon”.

Some would say that Logitech has been slow to market with an all-in-one solution, others would say they have learned from the mistakes of others and hit the market at the perfect time, with a sleek, aesthetically designed system that combines precision optics, audio excellence and multi-room flexibility with simplicity and reliability.

This system isn’t just about video meetings, it’s about impromptu brainstorms, whiteboarding, scheduling, room health and occupancy detection and everything in between.

Key Features:

65” 4K anti-glare 20-point touchscreen with responsive inking and annotation
Integrated Logitech Digital 4x Camera with wide-angle lens to capture close-up participants with razor-sharp video
Advanced speaker system with 16 adaptive beamforming mics

Built-in Android processor for native MS Teams Room or Zoom Rooms (Google Meet later)

Connect a BYOD laptop or dedicated Windows meeting room PC device to connect with Teams, Zoom, Google or Webex desktop applications.

Digital Cocoon to create artificial video and audio boundaries when used in open spaces

A “flipping” rollabout feature. Allows the camera to be above the display in open spaces or below the display in small rooms. This unique flipover feature can be used while in a call and without disturbing any cables

Cable and accessory management is incredibly-well thought out, buttons and access panels being virtually invisible on the rear. Use of magnetic panels. A sense of being reassuringly more expensive than rival systems, for good reason !

Logitech’s “Spot” features are already built-in. Radar sensors pick out occupancy status and combine data with heat and CO2 detection ready for AI analysis and reporting, auto-sleep mode etc for improved environmental and fatigue performance.

System is installed on to its floor stand or on to a wall bracket before it is taken out of its box. Why? … you might ask! No need for laying it face down on a blanket, risking damage or sticky finger marks, until you’re finished with the messy stuff.

Takes two to unbox and assemble but no special communications or installation knowledge is required.

Best For:

A wide range of meeting room sizes

Large rooms where the “digital cocoon” will create artificial boundaries up to 7m away

Portability between rooms

Organisations with little or no IT staff on-site

Executive collaboration or training suites

Bottom Line:
It’s an incredibly polished system that has been designed with reflection of earlier competitor systems in mind. Only #2 in our list because of the cost of a 65” being significantly higher than our #1 contender’s 75” model. If budget isn’t an issue, then this could be your #1.

Neat’s App Hub allows Neat Board to become a “Miro Board”. Miro, one of the world’s leading collaborative apps, makes it effortless to sketch ideas, lead presentations, facilitate workshops for hybrid teams and manage complex workflows.

Adjustable height floor stand option

Best For:

Design and innovation teams

Executive-level boardrooms

Mid-sized collaboration rooms

Zoom/Teams-native hybrid spaces

Zoom is a software company and so doesn’t produce its own hardware. However it has invested in DTEN to ensure that its products are designed with a “Zoom-first” approach.

Certified for Zoom Rooms and Teams Room

The built-in AI camera with smart framing and auto-focus, can be complemented by a unique pair of “Vue Pro” side-mount camera units. Each unit has 2 cameras cleverly designed to capture in-room participants at eve-level whether they be at the front of rear of the room.

15-mic array with voice isolation for crystal-clear audio. Even the softest voices can be heard from the back of the room.

Best For:

Larger Zoom-enabled meeting rooms

Those with MS Windows platform policy, as well as those preferring Android.

Where 55” and 75” sizes work better than traditional 50”, 65” or 86” offered by rivals

Hybrid team collaboration, especially where dual displays are better suited

Rapid deployment with minimal cabling

Explore the allure of returning to traditional office models amid the rise of remote work. Discover the risks and benefits in navigating this transition.

In a recent survey of over 150 U.S. CEOs conducted by Chief Executive, a surprising revelation emerged as a catalyst for the return to the office.

The study highlighted a widespread struggle among organisations to foster effective communication, collaboration, and team bonding in remote and hybrid work environments. This sentiment was further echoed by a comprehensive academic study involving economists from Harvard, the Federal Reserve Bank of New York, and the University of Iowa, focusing on software engineers at a Fortune 500 firm. The study found that physical proximity significantly increased feedback, particularly benefiting female and young engineers, emphasising the value of in-person interaction for mentoring and career development.

Responding to these challenges, industry giants like Amazon and Salesforce have chosen to pivot back to traditional in-person work models. However, as this blog explores, this retreat may not be the optimal course of action. While the return to familiar territory may seem tempting, it involves sacrificing the numerous benefits that remote and hybrid work arrangements offer.

The Temptation of Returning to Traditional Office Models

The trend toward in-person work is evident in the survey results, with the percentage of on-site businesses experiencing a significant uptake from 31% in 2022 to 46% in 2023. Hybrid companies decreased from 61% to 48%, while companies with no office presence dropped from 7% to 5%. This shift reflects a common human tendency to gravitate towards the familiar in the face of challenges. However, as companies consider reverting to traditional office-centric models, they risk sacrificing the advantages that remote and hybrid work arrangements have demonstrated.

Giving Up the Hybrid Work Goldmine

Despite the unexpected trend towards a return to the office, CEOs had previously expressed contentment with remote or hybrid work models in a 2022 survey. In 2023, only 5% of companies reported decreased performance due to the shift, raising questions about the reasons behind the sudden shift in sentiment.

The challenges cited by CEOs include the difficulty of maintaining the same level of engagement and participation from remote employees as their in-office counterparts. Furthermore, a study on software engineers at a Fortune 500 firm highlighted the negative impact of remote work on the professional development of junior staff. The findings underscore the importance of addressing these challenges without abandoning the proven benefits of remote and hybrid work arrangements.

The Cognitive Bias Trap: How Our Brains Sabotage Hybrid Work Success

Navigating the shift to hybrid work is made more challenging by the influence of cognitive biases, with a notable focus on the status quo and functional fixedness. The status quo bias favours maintaining the current situation, making leaders hesitant to fully embrace remote and hybrid work models. Functional fixedness leads organisations to apply traditional office-centric models to new environments, resulting in weakened culture, collaboration, team bonding, and communication.

To overcome these biases, leaders must actively challenge their assumptions and beliefs about remote and hybrid work. By consciously weighing the pros and cons of various work models, organisations can make informed decisions that embrace innovation and growth.

Embracing the Hybrid Work Model: A New Frontier

The key to navigating the hybrid work landscape lies in adaptation. Companies must tailor their approach to building culture, fostering collaboration, improving team bonding, and enhancing communication for remote and hybrid work environments. Instead of attempting to force traditional office-centric models onto these new settings, organisations should forge new paths that allow them to leverage the best of both worlds.

Strategic Steps for Success:

Create a Hybrid-Friendly Culture: Recognise and celebrate the unique strengths of remote and hybrid work, moving away from the “out of sight, out of mind” mentality.

Rethink Communication Strategies: Adopt communication strategies that foster inclusivity and prevent remote employees from feeling isolated.

Leverage Technology for Collaboration: Invest in cutting-edge collaboration software to bridge the gap between remote and in-office employees.

Prioritise Team Bonding and Connection: Organise regular team-building events, both in-person and virtual, to foster a sense of unity.

Invest in Training and Development: Equip leaders and employees with the skills necessary for success in a hybrid work environment.

Implement Robust Mentoring Programs: Create structured mentoring initiatives combining in-person and virtual elements to support junior staff.

The Future of Work: Embrace the Change, Reap the Rewards

Rather than retreating to traditional models, organisations must embrace the unique opportunities presented by remote and hybrid work. By doing so, they can position themselves for success in an ever-evolving business landscape, reaping the rewards that come with embracing the best of both worlds. The future of work is here, and it’s time for organizations to adapt and thrive in this new normal.

Delve into the transformative impact of multi-camera technology, revolutionizing hybrid teaching for seamless in-person and remote learning experiences

Navigating the Challenges with Intelligent Multi-Camera Switching Technologies

In the ever-evolving landscape of education, the shift towards hybrid teaching models has become increasingly prevalent. Where some students attend classes physically while others participate remotely. The seamless integration of technology into classrooms has been a game-changer, but challenges persist. As seen in a scenario where the teacher’s back is turned to the physical class, leaving remote students feeling disconnected.

The Disruption: A Classroom Dilemma

Picture this: A teacher stands in front of an interactive whiteboard, facing a room with a mix of in-person and remote students. Amid the lesson, a mischievous comment from a student disrupts the class, triggering laughter and confusion. The teacher, caught off guard, struggles to regain control. In the chaos, the remote attendees are left in the dark. Uncertain about who is in control and why they’re staring at the back of the teacher’s head.

The Cry for a Solution: Traditional Methods Fall Short

For over two decades, discussions about distance learning and remote participation have been ongoing, but traditional methods have fallen short. The struggle to seamlessly integrate both physical and virtual students into the learning experience has persisted. The desire to teach in the old-fashioned way clashes with the challenges of managing a hybrid classroom effectively.

The Evolution: Intelligent Multi-Camera Switching Technologies

The integration of intelligent multi-camera switching technologies marks a significant stride towards harmonising the learning experience for both in-person and remote participants. This ground-breaking solution emerges as a remedy to the challenges posed by the hybrid teaching model. Where students are both physically present in the classroom and remotely connected.

Imagine stepping into a modern classroom equipped with three strategically positioned cameras. Each with its own distinctive features tailored to meet specific visual requirements. These cameras serve as the eyes capturing the essence of the learning environment and addressing the complexities of a dual audience—those present in the room and those logging in from various locations.

Some of these cameras are designed with zoning capabilities, ensuring a focused capture of areas within the classroom. Others boast long focus lenses with narrow angles, enabling detailed shots of specific points of interest. Meanwhile, wide-angled cameras with intelligent people framing capabilities effortlessly adapt to the dynamics of the classroom, ensuring that the remote audience feels seamlessly integrated into the learning experience.

The automated switching of these cameras goes beyond a simple technological feat—it transforms the teaching landscape by bringing a dynamic and responsive element to the presentation. This shift is not solely reliant on artificial intelligence (AI) image capture embedded within the cameras; it extends to encompass directional audio pickup technologies. These innovations, whether integrated into the cameras, audio bars, or third-party devices, actively contribute to the seamless transition between camera angles.

Empowering Solutions: Demonstrating the Future of Hybrid Learning

At VideoCentric, we are at the forefront of demonstrating these solutions using cutting-edge technologies from leading brands such as Yealink, Aver, Huddly, PTZ-Optics Cameras, Inogeni switches, and audio solutions from Nureva and QSC. Our recent success stories include customer experiences with divisible room switching, showcasing the adaptability of these technologies in diverse educational settings.

Transforming Education

As we navigate the challenges of hybrid teaching, intelligent multi-camera switching technologies emerge as the beacon of hope. The integration of AI-driven cameras, audio tracking, and seamless switching creates an immersive learning environment, ensuring that both physical and remote students are engaged and connected. The future of education is evolving, and it’s doing so automatically with the power of AI cameras.

Why not contact our Sales Team today to see if this could be the solution to your hybrid learning environment.

Explore the differences between Teams Rooms Basic and Teams Rooms Pro licenses, ensuring optimal feature utilisation for your Teams Rooms devices.

Microsoft offers two licenses for Teams Rooms systems!

Here’s a breakdown of each!

Microsoft Teams Rooms Pro: This license provides advanced in-room meeting experiences such as intelligent audio and video, large galleries, dual screen support, and advanced management features like remote device management, conditional access policies, and detailed device analytics. It’s suitable for medium to enterprise organisations and smaller organisations with more advanced needs. Teams Rooms Pro licenses can be used for both certified Teams Rooms systems and Teams Panels.

Microsoft Teams Rooms Basic: This license offers core meeting experiences for organisations using certified Microsoft Teams Rooms systems at no extra cost. It includes scheduling, joining meetings, content sharing, collaborative whiteboarding, basic security, and management capabilities. Each license can be used for a single certified Teams Rooms system in a room. However, if you want to log into multiple systems in one room using the same resource account, you’ll need a Teams Rooms Pro license.

You can assign up to 25 Microsoft Teams Rooms Basic licenses to systems in your organisation. If you require more licenses, they should be Teams Rooms Pro licenses. Teams Rooms Basic licenses are solely for Teams Rooms systems and not for Teams Panels.

Teams Room systems can be:

Teams Rooms on Windows compute module with attached touch console

Teams Rooms on Android device with touch console connected via IP-based or USB connection

Surface Hub

The remote administration tasks for Teams Rooms systems in the Teams admin center depend on the assigned license. If your organisation currently uses Teams Rooms Standard or Teams Rooms Premium legacy licenses, you can continue using them until their expiration date. Afterward, transitioning to the Teams Rooms Pro license is recommended, as it combines the meeting and management features of the legacy licenses. For more details, contact our Sales Team!

Here’s a comparison of features between Teams Rooms Basic and Teams Rooms Pro licenses:

For licensing status information, you can utilise the Pro Management Portal:

Log into the Pro Management Portal with your credentials.

Navigate to Rooms and Inventory views.

In both views, check the License Type column to see device licensing status.

In the Inventory view, devices are categorised based on their license types, and in the Rooms view, you can find the licensing status of each device. It’s essential to note the upcoming changes regarding Basic and Standard licenses, affecting access to Pro Management capabilities started October 2nd, 2023. Devices without Pro or Premium licenses assigned to them will lose access to these capabilities after this date.

If encountering licensing status issues, ensure proper sign-in of your devices or consult Microsoft’s documentation for troubleshooting steps. For Teams Rooms Basic licenses, a grace period is provided upon expiration, allowing for renewal and reinstatement of access. However, failure to renew within this period will result in loss of access.

Now available as an add-on for paid Zoom accounts, this powerful tool supports captioning in a remarkable 35 languages. Let's delve into the details!

As a Unified Communications Integrator, our mission is to break down language barriers and foster seamless connection. With Zoom Translated Captions feature this is now a very real possibility.

Now available as an add-on for paid Zoom accounts, this powerful tool supports captioning in a remarkable 35 languages. Let’s delve into the details!

Zoom has earned a reputation for its ability to connect people globally. However, language differences can pose significant challenges even in the most connected environments. In response to this, Zoom have introduced the Translated Captions feature in June 2022 within Zoom Meetings and Webinars. Building on this foundation, we are excited to announce they have added new language additions, further eliminated language barriers and enhanced global connectivity.

This feature reduces the dependence on interpreters and third-party integrations, creating a more inclusive environment in every meeting and webinar. Setting Zoom apart from other meeting providers, users of translated captions can select their preferred speaking language within a meeting or webinar. Promoting seamless interaction among participants, irrespective of language differences.

Whether you’re a multinational corporation conducting global business or a global university with diverse enrolment, translated captions instantly bridge any language gaps.

Included in the Zoom One Business Plus, Zoom One Premier, Zoom One Enterprise Essentials, and Zoom One Enterprise Plus plans, this functionality is already supported in 35 languages, not only in Zoom meetings but also as recorded transcripts in Zoom Webinars and Zoom Events.

Supported languages include:

Arabic (MSA)

Bengali

Cantonese

Chinese Mandarin (Simplified and Traditional)

Czech

Danish

Dutch

English

Estonian

Finnish

French (CA and FR)

German

Hindi

Hungarian

Indonesian

Italian

Japanese

Korean

Malay

Persian

Polish

Portuguese

Romanian

Russian

Spanish

Swedish

Tagalog

Tamil

Telugu

Thai

Turkish

Ukrainian

Translations doesn’t stop at meetings and webinars. In response to the challenge of deciphering messages in a foreign language, Zoom’s Team Chat enables immediate translation as it happens. Furthermore, in order that conversations stay respectful and aligned with company compliance policies, Zoom has introduced a profanity filter. Administrators have the flexibility to create or import and edit a list of offensive words, giving them control over maintaining a professional communication space.

Enabling Zoom translated captions is a straightforward process.

Ensure you have a paid-for Zoom account and the latest desktop client.

Sign in to the Zoom web portal.

Select your preferred language.

Then activate the feature.

Why we believe it is one of the safest forms of communication, why Microsoft certification of devices remains critically important when choosing your systems.

MTRs have become the meeting room systems of choice for many organisations. Generally available in two forms, i.e. on Windows or on Android. Security is a major concern affecting businesses around the world. Here we at VideoCentric summarise why we believe it is one of the safest forms of communication. And Why Microsoft certification of devices remains critically important when choosing your systems.

The first point we must make, and this is reinforced by Microsoft on its own website. Is that MTRs must not be treated like any other computer workstation. Whether on Windows or Android, they must be treated as appliances and installing additional software on Teams Room devices is NOT supported. Android devices look like, and are therefore treated like, appliances. So in this article, we focus on those that do not look like appliances, i.e. Microsoft Teams Rooms on Windows (MTRoW).

Here we have summarised the main points but encourage a full read of Microsoft’s own website. Where it is expanded in full and is regularly updated.

See the reference at the foot of the bullet points.

Limited Storage of End User Data:

The Microsoft Teams Room (MTR) system ensures minimal storage of end-user data, primarily retaining support log files only. This deliberate limitation enhances privacy and reduces the risk associated with storing sensitive information on the system.

Anonymous Meeting Room Access:

Attendees do not sign in individually but instead use a shared meeting room resource. This approach promotes a streamlined and secure meeting experience without individual user accounts being involved.

File Copy Restrictions:

Users are restricted from copying files to the hard drive. Emphasising a controlled environment where potential security threats through file transfer are mitigated.

Isolation of End User Data:

The system ensures that no end-user data is accessible or transferred to the MTR device. Maintaining a secure boundary between user information and the meeting room hardware.

Microsoft Defender Integration:

Despite limitations on file transfer, Microsoft Defender remains enabled on the MTR, providing an additional layer of security through real-time threat detection and prevention.

Trusted Platform Module 2.0 Compliance:

Microsoft certifies computing processors compliant with Trusted Platform Module 2.0, enhancing security by encrypting login data and safeguarding against unauthorised access.

Secure Boot Default Setting:

Secure boot is enabled by default, verifying the signature of each software component, including drivers, applications, and the operating system. This prevents the execution of unsigned or malicious code.

Physical Keyboard and Mouse Security:

Certain settings are accessible only through a physical keyboard and mouse, preventing unauthorised access through the touch control panel or hand-held remote, adding an extra layer of physical security.

Direct Memory Access (DMA) Protection:

DMA protection is activated on Windows for all MTRs, guarding against malicious attacks that might attempt to exploit vulnerabilities in direct memory access.

Assigned Access for Limited Functionality:

Windows’ Assigned Access feature restricts entry points, replacing the default explorer.exe shell with the MS Teams Room application. This limits functionalities to essential components, reducing the attack surface.

External Penetration Tests:

Microsoft recommends IT staff to conduct external penetration tests on MTRs, emphasising a proactive approach to identifying and addressing potential security vulnerabilities.

Administrative Rights Restriction:

Only users with local or domain administrative rights can sign in to manage an MTR on Windows, ensuring that only authorized personnel can make configuration changes.

Protected Portal:

Teams Room Pro licenses include Defender for Endpoint, enabling secure enrolment of the MTR into the Defender Portal and providing advanced threat protection.

Resource Account Requirement:

A resource account is necessary for each MTR to sign into Teams. Modern Authentication replaces two-factor or multi-factor authentication, and MS Entra Conditional Access and Intune Compliance policies can be deployed for additional security.

Standardised Firewall Access:

Access through firewalls and other security devices for MTRs is consistent with any other Teams client, ensuring a standardized and secure communication pathway.

Automated Update Installations:

Microsoft ensures the timely installation of updates, including security patches, at 2 am every day, reducing the window of vulnerability and keeping the MTR system up-to-date.

Limited Bluetooth Usage:

Bluetooth technology on Teams is restricted and certified, with wired connectivity recommended over WiFi. This limitation minimises potential security risks associated with wireless communication.

It’s important to note that the details provided here are a comprehensive overview, and for the most up-to-date and detailed information, it’s advisable to refer to Microsoft’s official website, as indicated in the provided reference.

In the quest for optimising team productivity and fostering quick, informed decisions, organisations are increasingly turning to Artificial Intelligence (AI).

In the quest for optimising team productivity and fostering quick, informed decisions, organisations are increasingly turning to Artificial Intelligence (AI).

Microsoft Co-pilot has emerged as a game-changer for many, offering clarity, faster updates, and sparking new ideas. While individual users have found Co-pilot transformative. The challenge for teams lies in harnessing the insights generated during meetings for effective strategy, actionable items, and decision-making.

So, how can you efficiently capture and follow up on key outcomes from your team discussions?

The solution is straightforward: integrate Co-pilot into every space using Teams Rooms.

A significant proportion of Co-pilot users leverage it through Teams. Reporting a substantial boost in productivity, ease of post-meeting action-taking, and a reduction in administrative workload. Co-pilot in Teams allows for specific questioning, seeking clarifications, summarising meeting perspectives, and swiftly organising actions based on meeting transcripts.

To maximize the potential of Co-pilot in Teams for hybrid meetings, it’s crucial that every participant maintains their unique identity, regardless of their location. This is where Teams Rooms devices play a pivotal role. Speaker recognition facilitated by Teams Rooms, ensures that Co-pilot can attribute meeting contributions accurately to individuals. Creating a foundation for intelligent meeting recaps.

Teams Rooms devices employ advanced speaker recognition technology. Analysing vocal characteristics like pitch, tone, and speaking style to create a voiceprint for each participant. This unique voice signature ensures clear voice capture. Allowing Teams Rooms to identify speakers during live transcription in shared meeting spaces. To set up speaker recognition for your employees, a voice profile can be easily configured through the Teams Desktop app, storing voice signatures securely in your organisation’s Microsoft Cloud.

While intelligent speakers certified for Teams currently enable speaker recognition, Microsoft has plans to extend this capability to existing hardware. However, it’s essential to note that the quality may not match that of dedicated intelligent speaker devices, urging organisations to evaluate the advantages of incorporating intelligent speakers, particularly in crucial meeting spaces.

Combining Co-pilot with Teams Rooms devices allows for natural language queries about hybrid meeting details and participants, providing instant answers and insights. The integration ensures that key takeaways from discussions are effortlessly summarised, maintaining each speaker’s identity for a seamless experience for both in-person and remote participants.

Beyond Co-pilot, AI impacts hybrid meetings by enhancing visibility and recognition of all participants. IntelliFrame, utilising intelligent camera technology, focuses on in-room speakers for online attendees, capturing expressions and gestures. Certified intelligent cameras and speakers, coupled with speaker recognition and Co-pilot, create an immersive experience, fostering engagement and team cohesion.

Co-pilot and Teams Rooms form a powerful combination for hybrid meetings, addressing challenges and unlocking the benefits of collaborative AI features. Whether it’s clarifying speakers, extracting meeting insights, ensuring inclusivity, or providing clear participant visibility, this dynamic duo enhances collaboration, engagement, and productivity. Even if Co-pilot isn’t in your toolkit yet, starting with Teams Rooms devices is the first step towards enhancing hybrid work environments, preparing for seamless integration with Co-pilot in the future.
